This Privacy Policy explains how we collect, use, store and share your personal information when you visit our website at www.freedom-energy.co.uk ("the Site") or submit an enquiry through it.

2. What Personal Data We Collect

When you submit an enquiry through our website, we collect the following information:

2.1 Contact Information

  • First name and last name

  • Email address

  • Phone number

  • Preferred contact method

2.2 Property Information

  • Property type (e.g. home or commercial)

  • Street address, city, county and postcode

  • Whether you own the property

2.3 Energy and Project Information

  • Average monthly electricity bill

  • Primary energy goal (e.g. lower bills, independence)

  • Interest in battery storage

  • Whether you own an electric vehicle

  • Roof type and approximate roof age

2.4 Usage and Advertising Data

If you consent to non-essential cookies, we collect data about how visitors find and use our Site, including pages visited, time on site, browser type and approximate location. Where you have arrived from one of our online adverts, we also measure which enquiries and phone calls result from those adverts. This data is used to understand website performance and the effectiveness of our advertising. See Section 7 for detail on the specific tools and cookies involved, and how to control them.

3. How We Use Your Personal Data

We use your personal data for the following purposes:

  • To respond to your enquiry and provide you with information about our services

  • To assess your property and energy requirements in order to prepare a relevant proposal or quotation

  • To arrange site visits, surveys or installations where you proceed with our services

  • To measure the performance of our website and the effectiveness of our online advertising, where you have consented to the relevant cookies

We do not use your data to make automated decisions that produce legal or similarly significant effects. We do not send unsolicited marketing communications. Any direct contact from us is in response to your enquiry.

4. Our Legal Basis for Processing

Under UK GDPR, we rely on the following lawful bases to process your personal data:

  • Legitimate interests (Article 6(1)(f)): to respond to your enquiry and assess whether our services are suitable for your property and needs. We have carried out a balancing test and are satisfied that our legitimate interests are not overridden by your rights and freedoms.

  • Performance of a contract (Article 6(1)(b)): where you proceed with a quotation or installation, processing your data is necessary to fulfil that agreement.

  • Legal obligation (Article 6(1)(c)): where we are required to retain records for tax, regulatory or health and safety purposes.

  • Consent (Article 6(1)(a)): for our use of non-essential analytics and advertising cookies, and any processing that follows from them. You can give or withdraw this consent at any time through our cookie banner. Our use of cookies is also governed by the Privacy and Electronic Communications Regulations (PECR).

5. Who We Share Your Data With

We do not sell, rent or trade your personal data. We may share your data in limited circumstances with the following parties:

  • Subcontractors: on occasion, we engage trusted subcontractors to assist with the delivery of our services (for example, specialist equipment delivery). Where this occurs, we share only the personal data necessary for that purpose and require those parties to handle it securely and in accordance with UK GDPR.

  • Analytics providers: we use Framer Analytics and Google Analytics to understand how visitors use our Site. Google may process this data outside the UK; this is governed by Google's standard contractual clauses and privacy commitments.

  • Advertising providers: we use Google Ads to measure the effectiveness of our online advertising, including conversions (such as quote requests) and calls made from our Site. Where these cookies are active, Google may process the resulting data outside the UK under its standard contractual clauses and privacy commitments.

  • Legal and regulatory authorities: where we are required to do so by law, court order or regulatory obligation.

We do not transfer your personal data outside the United Kingdom except as described above in relation to Google Analytics and Google Ads.

6. How Long We Keep Your Data

We retain your personal data only for as long as is necessary for the purposes for which it was collected:

  • Enquiry data (where no contract follows): retained for up to 12 months from the date of your enquiry, after which it is securely deleted.

  • Customer data (where a contract is formed): retained for 7 years from the completion of the contract, in line with our legal and tax obligations.

  • Analytics and advertising data: retained in accordance with the default retention settings of Framer, Google Analytics and Google Ads.

7. Cookies and Analytics

Our Site uses cookies and similar tracking technologies. Cookies are small text files placed on your device that help us understand how the Site is used and measure our advertising.

Non-essential cookies are not set until you consent to them through our cookie banner. You can accept or reject each category, and change your choice at any time. If you reject a category, the associated cookies and tracking are not activated.

We currently use:

  • Framer Analytics (essential/anonymous): measures anonymised visitor behaviour such as pages visited and session duration. It does not use identifying cookies.

  • Google Analytics 4 (analytics, requires consent): collects data on how visitors find and use our Site, using cookies to distinguish users. Google Analytics 4 does not log or store full IP addresses.

  • Google Ads (advertising, requires consent): measures conversions from our online adverts, including quote requests submitted on our Site and phone calls made from the Site. These are advertising cookies used to assess how well our adverts perform.

A full cookie policy, including a breakdown of the specific cookies in use and their duration, is available separately on our Site. Because non-essential cookies are managed through our consent banner, disabling them via your browser is not necessary, though you may also adjust your browser settings if you wish.

8. Your Rights Under UK GDPR

You have the following rights in relation to your personal data:

  • Right of access: to request a copy of the personal data we hold about you.

  • Right to rectification: to ask us to correct inaccurate or incomplete data.

  • Right to erasure: to request that we delete your personal data, subject to any legal obligations we have to retain it.

  • Right to restriction: to ask us to limit how we use your data in certain circumstances.

  • Right to object: to object to processing based on legitimate interests. We will stop processing unless we can demonstrate compelling legitimate grounds.

  • Right to withdraw consent: where we rely on your consent (for example, for non-essential cookies), you can withdraw it at any time through our cookie banner, without affecting the lawfulness of processing before withdrawal.

  • Right to data portability: to receive your data in a structured, commonly used format where processing is based on consent or contract and carried out by automated means.

If you are not satisfied with how we handle your data or your request, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.

We take the security of your personal data seriously and implement appropriate technical and organisational measures to protect it against unauthorised access, loss or disclosure. However, no method of transmission over the internet is entirely secure, and we cannot guarantee absolute security.
